Seto Health Group is a healthcare provider offering patient-focused services. They needed an organized CRM system and automation setup to manage leads efficiently, reduce no-shows, and improve patient engagement.

  • Leads were spread across Nutshell CRM with no structured follow-ups.

  • Appointment scheduling was manual, causing delays and missed opportunities.

  • No Zoom/Outlook integration with their CRM, making scheduling cumbersome.

  • Weak patient engagement due to lack of nurturing workflows.

  • No system for personalized communication (e.g., birthdays, reminders).


 
My Approach & Solution
 

As part of my role at Quaid Ventures, I led the transition from fragmented systems to GoHighLevel automations:

  1. Lead Management

    • Migrated all existing leads from Nutshell to GHL.

    • Built a structured CRM pipeline with lead-type segregation (Prospects, Active Patients, Referrals).

  2. Smart Appointment Booking

    • Integrated GHL with Zoom + Outlook for seamless scheduling.

    • Implemented automated confirmations & reminders.

  3. Automated Nurturing & Follow-ups

    • Created workflows for pre- and post-appointment reminders.

    • Built nurturing sequences triggered after form submissions.

  4. Personalization

    • Automated birthday wish campaigns for better patient engagement.

    • Tailored follow-ups based on patient category.
